• Billing information: processed securely through Stripe; we do not store full card numbers
• Communications: messages you send to us or through the Service

1.3 Client Data You Upload

When you use the Service to manage private event inquiries, we process data about your clients (names, email addresses, event details) on your behalf. You are the data controller for this information; we process it only to provide the Service to you.

We use the information we collect to:

• Provide, operate, and maintain the Service
• Process transactions and send billing confirmations
• Generate AI-powered proposals and communications on your behalf
• Send transactional emails (account confirmations, booking notifications)

3. AI Data Processing

BanquetPilot uses artificial intelligence services, including the Anthropic Claude API and Google Gemini API, to generate proposals and communications. When you use AI-powered features:

• Your business data (menus, pricing, room info) is sent to AI providers to generate content
• Client inquiry data may be processed by AI providers to generate personalized responses
• AI providers process this data subject to their own privacy policies
• We do not use your data to train AI models without your explicit consent

4. Information Sharing and Disclosure

We do not sell your personal information. We may share information with:

• Stripe — payment processing
• Supabase — database and authentication
• Resend — transactional email delivery
• Anthropic — AI proposal generation
• Google — AI image generation
• Netlify / Vercel / Railway — hosting infrastructure

4.2 Legal Requirements

We may disclose your information if required by law or in response to valid legal process, to protect the rights and safety of our users, or to protect against fraud or security threats.

4.3 Business Transfers

In the event of a merger, acquisition, or sale of assets, your information may be transferred. We will provide notice before your information becomes subject to a different privacy policy.

5. Data Retention

We retain your account information for as long as your account is active or as needed to provide the Service. We retain client event data for up to 3 years. You may request deletion of your data at any time by contacting us at sterling@banquetpilot.com.

We implement industry-standard security measures including encryption in transit (TLS) and at rest, access controls, and regular security reviews. However, no method of transmission over the internet is 100% secure.
